Certificate Expiration
Configure expiration policies so certificates require periodic renewal, useful for compliance training and certifications that need regular refreshing.
Expiration Modes
Expiration is configured per course in the course edit screen. Three modes are available:
| Mode | Behavior |
|---|---|
| No expiration | Certificate never expires (default) |
| Days after award | Certificate expires N days after it was issued |
| Fixed expiration date | Certificate expires on a specific calendar date |
Days After Award
Set Expiration Mode to "Days after award" and enter the number of days. For example, 365 means the certificate is valid for one year from the date it was issued. Each learner's certificate expires individually based on when they earned it.
Fixed Expiration Date
Set Expiration Mode to "Fixed expiration date" and select a date. All certificates for this course expire on the same date, regardless of when they were issued. Useful for annual compliance deadlines.
Expiration Notifications
MentorKit runs a daily background check for expiring and expired certificates.
| Sent when | Default timing | |
|---|---|---|
| Certificate Expiring | Certificate is about to expire | 7 days before expiry |
| Certificate Expired | Certificate has expired | On the expiry date |
The "days before expiry" reminder window is configurable in MentorKit LMS → Emails on the Certificate Expiring template.
Each notification is sent only once per certificate — learners won't receive duplicate reminders.
Expired Certificates
When a certificate expires:
- The certificate remains visible in the learner's profile but is marked with an Expired badge
- The learner may be required to retake the course (configurable per course)
- If the learner retakes and passes, a new certificate is issued automatically
- The previous expired certificate is preserved in the system
